# Car detailing appointment reminders: what to send and how to automate them

> An empty detailing slot hurts. So does arriving at a locked car. Send reminders that cover the details customers actually need, with four SMS examples and a simple calendar workflow.

The customer remembers their detail. Unfortunately, they remember it halfway through a meeting, with the car keys in their pocket and your mobile van outside their house.

That's the problem with a reminder that only says "see you tomorrow." Car detailing appointments have practical details: where to leave the car, who has the keys, whether the boot needs emptying. A useful text helps the customer get those things right.

Our view: a booking confirmation is paperwork, not proof that someone will remember the appointment two weeks later. Give the booking another chance to be noticed, close enough to the visit that the customer can act.

## Start with one reminder that earns its place

Try one SMS the day before. That's a starting point, not a proven best time for every detailing business. Send it earlier if your cancellation window or vehicle preparation requires more notice. Check how your system handles bookings made after the normal reminder time.

Include the business name, appointment date and time, location, and the one preparation detail most likely to cause a problem. Give the customer a clear way to contact you or cancel. Save lengthy instructions for the booking information.

For mobile work, the booked address and vehicle access deserve attention. For workshop drop-offs, make the entrance and handover arrangements clear. A customer searching for the wrong unit is already late.

## Four car detailing reminder texts to adapt

These are illustrative examples. Replace the details with the actual booking and only include instructions that apply to your service. The bracketed contact details are placeholders.

### Workshop drop-off

> Shine Studio: Hi Alex, your interior detail is tomorrow at 10am. Drop off at Unit 4, Brook Yard, using the side entrance. Please remove personal belongings. Questions or a change of plans? Call \[business phone\].

Specify whether that time means dropping off the vehicle or waiting for the work. If you need the car all day, establish that when booking; the reminder can repeat it.

### Mobile detailing visit

> Shine Mobile: Your detail is tomorrow at 9am at the address you booked. Please have the vehicle and keys available, with access to the agreed work area. Address or access changed? Call \[business phone\].

If parking or access needs discussing, sort it out before driving there. Add the booked address when your reminder setup supports it.

### Coating appointment preparation

> Shine Studio: Your coating appointment is tomorrow at 8am. Please follow the preparation and drop-off instructions we sent with your booking. Unsure about anything? Call \[business phone\] before your visit.

Use your studio's instructions. A generic reminder template should never invent preparation requirements for a coating service.

### A clear cancellation route

> Shine Studio: Your full detail is tomorrow at 10am. Can't attend? Cancel here: \[cancellation link\]. To arrange another date, call \[business phone\].

A cancellation link cancels the appointment. It doesn't book a replacement time. Keep that distinction clear, especially when the SMS service doesn't support conversational replies.

Prefer a shorter message? Cut the greeting before cutting the address or the action the customer needs to take. Our [appointment reminder templates](/appointment-reminder-templates) have more wording you can adapt.

## Making cancellation difficult is false economy

A customer whose plans have changed still can't attend, however awkward you make the cancellation process. Hiding the contact route just makes it harder to learn about the empty slot.

We'd rather know while there's time to call another customer or change the day's work. Put the cancellation route in the message. Keep any agreed policy clear in the booking information.

Deposits have a separate job. A deposit can't explain where to park, unlock a gate, or remind someone to empty their car. Even if you collect one, the practical reminder still earns its place.

## Stop buying features that don't solve your missed-visit problem

Before shopping for car detailing reminder software, write down what goes wrong now. Forgotten bookings? Manual texting? Customers arriving unprepared? That list should decide what you buy.

* Check that scheduled SMS uses the calendar your team actually updates.
* Make sure the system can find a usable customer mobile number and show when it can't.
* Test the message with a real appointment: correct time, useful location and clear contact route.
* Check what cancellation does, and whether anyone needs to monitor replies.
* If you also need online booking, deposits or preparation emails, check those requirements separately.

A full booking platform can make sense when you need those extra jobs handled. If Google Calendar already runs your diary, changing the whole booking process just to send a text may be unnecessary. Our [no-show software comparison](/best-no-show-reduction-software) explains the different approaches.

## Automate the reminder from Google Calendar

Etisia sends SMS reminders from appointments in a connected Google Calendar. Add the booking to that calendar and make sure Etisia can resolve the customer's number from the event or a saved contact. Choose the reminder timing, review the wording and test it on your own appointment first.

Etisia's reminders are one-way, so direct questions to your monitored business phone. You can enable an optional secure cancellation link; arranging another date remains a separate step.

Etisia doesn't supply a detailing booking page, collect deposits or send your preparation emails. Keep those parts in your existing tools. Follow the [Google Calendar SMS setup guide](/google-calendar/how-to-add-sms-reminders) to connect the reminder part.

## Judge it by what happens in the diary

Record missed appointments and late cancellations before switching reminders on. Then watch those figures alongside manual texting time and access problems over the next few weeks. Keep appointment counts too, so a quieter month doesn't look like an improvement.

If customers still arrive without the keys, change the message. If cancellations come too late, reconsider the timing. Start with one useful reminder, then fix the specific problem you can see.
