When a tattoo appointment is missed, the gap is hard to refill
Tattoo appointments are not always easy to replace at short notice. A client may have booked chair time, a consultation slot, a custom design session, or a longer appointment that affects the whole studio diary. When someone forgets, cancels late or simply does not turn up, that reserved time may be left open - especially if another client cannot be moved into the slot quickly.
Example calculation for a busy UK tattoo studio
A simple way to understand the effect of short-notice gaps in the diary. These figures are an example only - use your own appointment value, chair time and cancellation patterns.
25 booked appointments
Attended appointments Short-notice gaps
25 per week
Booked appointments
2 per week
Short-notice gaps
5 hours per week
Reserved time left open
Example only: 2 short-notice gaps x 2.5 hours of reserved chair time = 5 hours of appointment time left unused each week. If that time is valued at £60 per hour, that is £300 of booked studio time that may not be reallocated. This is an estimate, not an industry average or a guaranteed saving.
Discreet by default
Keep SMS reminders neutral: appointment date, time, studio name and a cancellation link. There is no need to include the tattoo design, body placement or other personal details.
Built around studio diaries
Etisia works with Google Calendar, so solo artists and small studios can add SMS reminders without replacing the way they already manage bookings, consultations and chair time.
Reduce forgotten appointments Tattoo clients may book weeks in advance, especially for custom work or longer appointments. A clear SMS reminder gives them the date and time again, close enough to the appointment that they can act on it.
Make cancellations easier A cancellation link gives clients a simple way to let the studio know they cannot attend. That helps artists and reception teams avoid missed calls, back-and-forth messages and empty gaps in the diary.
Protect focus for artists and admin teams Small tattoo studios often manage enquiries, deposits, consultations, drawing time and appointments at the same time. Automatic text reminders reduce the need to manually chase every client before a booking.
Keep communication discreet A good tattoo reminder does not need to mention the design, body area, reason for the appointment or any private detail. "Your appointment at {BusinessName}" is often enough.
Works with Google Calendar Etisia does not replace a full studio management system. It adds automatic SMS reminders, cancellation links and optional review requests to the Google Calendar workflow your studio already uses.
Keep tattoo appointment texts practical and discreet
Tattoo clients may book through DMs, phone calls, enquiry forms or in-person consultations, but the appointment usually ends up in a diary or Google Calendar. Etisia adds a reminder layer to that workflow, without asking the studio to change how clients book.

Keep your existing booking process. Clients can still book through Instagram, your website, phone, email or in person. Once the appointment is in Google Calendar, Etisia can send automatic SMS reminders, include cancellation links, and, where enabled, send a neutral review request after the appointment.
SMS templates for UK tattoo studios
These templates are deliberately short and neutral. They avoid design names, body placement, medical details, personal reasons and anything that may feel too private for an SMS.

Do tattoo studios need consent to send SMS appointment reminders?
Not always in the same way as marketing consent. A factual appointment reminder can be a service message if it only gives necessary appointment information and does not promote anything. However, the studio still needs an appropriate lawful basis under UK GDPR and the Data Protection Act 2018, should explain how mobile numbers are used in its privacy information, and should handle personal information securely. GOV.UK data protection overviewICO guidance
When does PECR matter?
PECR is especially relevant when a text message becomes promotional, such as advertising a flash day, a new artist, a discount, merchandise or a review campaign that goes beyond a factual service message. The ICO says marketing emails and texts to individuals generally need specific consent unless the soft opt-in applies, and marketing messages must include a clear way to opt out. ICO PECR guidance
What should a tattoo SMS reminder avoid?
Avoid including tattoo design names, body placement, cover-up details, health information, payment issues, personal reasons for the appointment or anything the client may not want visible on a phone lock screen. A neutral reminder with the studio name, date, time and cancellation link is usually safer.
What is the best timing for tattoo appointment reminders?
Many studios use a reminder 24-48 hours before the appointment, with an optional same-day reminder for longer appointments or clients booked far in advance. The best timing depends on your cancellation policy, whether you hold deposits, and how quickly you can refill gaps in the diary.
How do cancellation links help tattoo studios?
Cancellation links make it easier for clients to tell you they cannot attend without phoning, replying on Instagram or waiting for the studio to open. They help the artist or admin team see changes sooner, but they should not be described as a guaranteed way to refill every appointment.
Does Etisia replace tattoo studio management software?
No. Etisia is not a full booking system, till system, waiver tool or studio management platform. It adds automatic SMS reminders, cancellation links and optional review requests to Google Calendar.
Can Etisia work with multiple artists or calendars?
Yes, depending on the plan and setup. This is useful for studios with several artists, guest artists, consultation calendars, private rooms or separate Google Calendars. Paid plans support multiple Google Calendars and team workflows.
Can tattoo studios ask for Google reviews by SMS?
Yes, but the request should be neutral and voluntary. Do not offer incentives, ask only satisfied clients, request "5-star" reviews, or tell clients what to write. Google review policy warns against incentives, pressure and selective positive solicitation. Google review policy
