The diary cost of missed personal training sessions

When a client forgets a session, cancels late or simply does not arrive, that time is difficult to reuse. For a personal trainer, the impact is not only the appointment fee. It can also mean unused studio time, a gap in the diary and extra admin trying to rearrange the booking. Etisia helps by sending automatic SMS reminders and giving clients a simple cancellation link, so changes are easier to manage before the slot is completely wasted.

Better for early starts and evening slots

A reminder the day before can be especially useful for 6am, lunchtime and after-work sessions, when clients are fitting training around work, family and travel.

Discreet by default

SMS reminders do not need to mention goals, body measurements, health details or the type of session. A simple date, time and cancellation link is usually enough.

Reduce forgotten appointments. Clients often book personal training around busy working days, school runs, commuting and changing weekly routines. A short SMS reminder makes the appointment visible at the right time without relying on email or a manual message from the trainer.

Make cancellations easier to handle. A cancellation link gives clients a straightforward way to let you know they cannot attend. That can help you spot changes sooner, update the diary and, where possible, offer the slot to another client.

Support solo trainers and small studios. Many trainers manage bookings themselves between sessions. Etisia adds automated SMS communication to Google Calendar, so the reminder process keeps running while you are coaching, travelling or preparing for the next appointment.

Works across coaches, rooms and calendars. For studios or small teams, different coaches, rooms or locations may sit in separate Google Calendars. Etisia can support a more organised reminder flow without asking the business to rebuild its booking process.

Use SMS reminders in a way that fits UK personal training

UK trainers often work around early mornings, evenings, rented studio space, shared gym facilities, mobile clients and mixed booking routes. SMS reminders are a practical way to reduce forgotten appointments, make late cancellations easier to handle and keep the diary clearer without replacing existing booking or coaching tools.

  1. 01

    Works around real client routines

Reminders help clients see the booking before 6am sessions, lunchtime slots and after-work appointments that sit between work, family and travel.

  2. 02

    Clear cancellation path

A cancellation link gives clients one simple action when they cannot attend, which can reduce back-and-forth messages while you are coaching.

  3. 03

    Neutral and privacy-aware

Keep the SMS focused on business name, date, time and link. Avoid workout details, weight-loss goals, injuries, measurements or health information.

  4. 04

    Google Calendar first

Etisia sits around the diary you already use, so solo trainers, studios and small teams can add SMS reminders without rebuilding the booking process.

Ask for feedback without putting pressure on clients

After a personal training appointment, a short and neutral feedback request can be useful. Some trainers may prefer to collect private feedback first, while others may offer a Google review link to clients who want to share their experience publicly. Keep review requests voluntary, avoid incentives, do not ask only selected happy clients, and do not ask for "5-star reviews". Google policy says businesses must not offer incentives, discourage negative reviews or selectively solicit positive reviews, but they may ask for genuine reviews without trying to influence the rating or content.

Neutral wording

Ask for feedback in a balanced way, such as "You can leave feedback if you would like." Avoid wording that pressures clients or suggests what rating to leave.

Private feedback option

For some training businesses, private feedback may be more useful than public reviews, especially when clients are discussing confidence, health, body composition or personal goals.

Careful with transformation claims

If reviews or testimonials mention weight loss, body changes or health outcomes, treat them carefully. ASA/CAP guidance says testimonials must be genuine and claims that could be read as factual need evidence; testimonials alone are not adequate substantiation for objective claims.

Use feedback follow-ups as an invitation, not a rating push.

Frequently asked questions

The practical details before you try Etisia.

Do personal trainers need consent to send SMS appointment reminders?
For simple appointment reminders, the key point is to be transparent and handle mobile numbers properly. A mobile number is personal data, so the business should have an appropriate lawful basis, explain how contact details will be used and keep messages limited to what is necessary. UK data protection is governed by UK GDPR and the Data Protection Act 2018, and organisations must use personal data fairly, lawfully and transparently.
Are SMS appointment reminders the same as marketing texts?
Not necessarily. ICO guidance says routine customer service messages do not count as direct marketing when they provide information the customer needs about a current contract or purchase. However, if the SMS includes significant promotional material, the marketing rules apply.
What about promotional SMS or review requests?
If a message promotes services, packages, offers or anything beyond a simple appointment reminder, PECR and ICO direct marketing guidance become more relevant. ICO guidance says marketing texts to individuals generally need specific consent unless the soft opt-in applies, and the sender must provide a valid way to opt out or unsubscribe. For direct marketing preferences, people can object, opt out or withdraw consent, and organisations must respect those choices.
What should a personal training SMS reminder include?
Keep it simple: business name, appointment date, appointment time and a cancellation or change link. Avoid mentioning private details such as weight, measurements, health conditions, training goals, injuries, nutrition plans or the reason for the appointment.
When should reminders be sent?
A useful starting point is one reminder around 24 hours before the appointment. For early morning or same-day bookings, some trainers may also use a shorter reminder a few hours before. Avoid sending too many messages, and keep wording calm and practical.
How do cancellation links help?
A cancellation link gives clients a quick way to tell you they cannot attend. That can reduce back-and-forth messages, make the diary easier to manage and give you a better chance of offering the slot to someone else. It should not be framed as guaranteeing fewer missed appointments.
Does Etisia replace personal training software?
No. Etisia adds SMS reminders, cancellation links and optional review or feedback requests to Google Calendar. You can keep your booking system, coaching app or client management software and use Etisia as the SMS layer around appointments.
Can it work for studios with several trainers?
Yes, where the relevant calendars and client mobile numbers are available. This is useful for studios with several coaches, rooms or locations. Paid plans can support multiple Google Calendars and shared team workflows depending on the plan, so check the plan limits before promising a studio-wide setup.
