When a PT booking is missed, the time is hard to reuse

Personal training sessions are usually built around reserved time: a trainer, a space, equipment and a client who is expected to arrive. When a client forgets, cancels late or does not turn up, that time often stays open in the diary. SMS reminders and cancellation links help clients confirm the details earlier, and make it easier to free up the slot while there is still time to do something with it.

Early starts need clear reminders

A short SMS the day before can help clients remember 6 am and 7 am bookings before they go to bed, without the trainer needing to send manual texts after hours.

Useful for studios, gyms and mobile PTs

Whether sessions happen in a gym, private studio, park, client home or online, Etisia adds reminder messages and cancellation links to the Google Calendar workflow you already use.

One-to-one sessions For personal training appointments, a simple SMS reminder can include the business name, date, time and cancellation link. Keeping the message neutral avoids sharing private fitness goals, injuries, weight loss details or training notes by text.

Small group bookings and bootcamps Group sessions are easier to manage when clients receive a reminder before the class and have a simple way to cancel. If someone cancels early enough, the trainer may be able to offer the place to another client or adjust the session plan.

Fewer interruptions between sessions Many PTs are coaching, travelling or setting up equipment during the day. Cancellation links reduce the need for back-and-forth phone calls and give clients a clear way to act when they need to change a booking.

Several trainers, spaces or calendars A small studio might have separate calendars for different trainers, rooms, outdoor sessions or online appointments. Etisia can sit alongside Google Calendar so each booking can trigger the right reminder without replacing the business's full booking or gym management software.

Use SMS reminders in a way that fits Australian personal training

Australian PTs, small fitness studios, gym-based trainers, mobile trainers and bootcamp operators often manage bookings around early starts, shared spaces and sessions back-to-back. SMS works best when it is practical, brief and focused on the appointment the client already booked.

  1. 01

    Clear appointment details

Use the business name, date, time and a cancellation or change link so the client knows exactly what the message is about.

  2. 02

    Neutral wording

Avoid training notes, injuries, body composition, weight goals or private reasons for the appointment in SMS content.

  3. 03

    Respectful timing

Send reminders when they help clients plan, such as the day before or a few hours before, and avoid late-night messages.

  4. 04

    Google Calendar first

Keep your booking system, gym software and client tools. Etisia adds SMS reminders and cancellation links around the calendar workflow.

Ask for feedback without making it feel forced

Etisia can send an optional review or feedback request after a completed appointment. For personal trainers, the safest tone is neutral: invite feedback from clients, do not ask only "happy clients", do not offer incentives, and do not ask for a "5-star review". Google's review policy says merchants must not offer incentives for reviews, discourage negative reviews, selectively solicit positive reviews or pressure users to leave ratings.

Regulated health note: If the business also advertises regulated health services, such as physiotherapy, be careful with testimonials and outcome-based review content. Ahpra guidance restricts testimonials about clinical aspects of regulated health services.

Neutral by default

Use the same calm wording for review requests where enabled. A simple "Feedback is welcome and optional" sounds more trustworthy than pushing for a rating.

Private feedback can come first

Some fitness businesses may prefer to collect private feedback before or instead of sending clients to a public review page, especially where the service involves personal goals or sensitive health-related information.

No incentives or pressure

Avoid discounts, gifts, free sessions or language that asks for a specific star rating. Review requests should be easy to ignore and easy to opt out of where they are sent by SMS.

Use review follow-ups as a neutral invitation, not a rating push.

Keep Google Calendar as the main calendar your team works from. Etisia adds reminders, review requests, and one-tap cancellations without a new booking system or workflow builder.

Frequently asked questions

The practical details before you try Etisia.

Do Australian personal trainers need consent to send SMS appointment reminders?
For ordinary appointment reminders, the business should still be transparent about using a client's mobile number for booking communication. Where the business is covered by the Privacy Act, the Australian Privacy Principles require open and transparent handling of personal information and appropriate collection notices. Gyms or weight loss clinics may be treated as health service providers where they collect health information.
What should a PT reminder SMS include?
Keep it simple: business name, appointment date, time and a cancellation or change link. Avoid including workout details, injuries, weight goals, medical information, personal training notes or anything the client may not want visible on their phone screen.
When should personal trainers send appointment reminders?
A practical setup is one reminder the day before and, for early morning or high-value sessions, a second reminder a few hours before. Avoid sending messages late at night, and choose timing that suits the client experience as well as the trainer's diary.
Can clients cancel from the SMS reminder?
Yes. A cancellation link can give clients a clear way to cancel or request a change without calling during a session. Each business's own cancellation policy still applies.
Does Etisia replace gym management or booking software?
No. Etisia is an SMS reminder and communication layer for Google Calendar. It does not replace full client management, payments, memberships, programming, waiver management or gym software.
Can Etisia work for several trainers or locations?
Yes. Etisia is useful where a business manages several Google Calendars, trainers, rooms, outdoor locations or appointment types. The practical scope is SMS reminders, cancellation links and optional review or feedback requests connected to Google Calendar.
Are review request SMS messages allowed in Australia?
Review requests should be treated carefully, especially if they promote the business. ACMA guidance for commercial electronic messages focuses on consent, clear sender identification and unsubscribe options. Google also prohibits incentives, pressure, discouraging negative reviews and selectively asking only for positive reviews. From 1 July 2026, businesses sending branded SMS or MMS must be registered on the SMS Sender ID Register.
What if a personal trainer also offers health or allied health services?
Use more cautious wording. Do not include clinical details in SMS messages. Do not use testimonials or reviews in advertising if they refer to clinical aspects of a regulated health service. Ahpra guidance says regulated health advertising must not use testimonials, create unreasonable expectations or be false or misleading.
